Accommodation Policy

Article 1 (Scope of Application)

  1. Accommodation contracts and related agreements entered into by WPÜ HOTEL (hereinafter referred to as the "Hotel") with guests shall be in accordance with the provisions of these Terms and Conditions. Matters not stipulated herein shall be governed by laws, regulations, or generally accepted practices.
  2. Notwithstanding the provisions of the preceding paragraph, if the Hotel agrees to a special contract not violating laws or customs, such special contract shall prevail.

Article 2 (Application for Accommodation Contract)

Guests applying for an accommodation contract with the Hotel shall provide the following information: (1) Guest name and telephone number (or mobile phone number) (2) Date of stay (3) Room charge (based on the basic accommodation charge as outlined in Appended Table 1) (4) Other information the Hotel deems necessary.

If a guest requests to extend their stay beyond the date provided in item (2), such request shall be treated as a new application for an accommodation contract at the time of the request.

Article 3 (Formation of Accommodation Contract)

  1. The accommodation contract shall be deemed concluded once the Hotel accepts the application mentioned in the previous Article, unless the Hotel proves it did not accept the application.
  2. Upon conclusion of the contract, the guest shall pay a deposit determined by the Hotel by the designated date, up to the amount of the basic room charge for three days.
  3. The deposit shall be applied toward the total accommodation charges due. In the event of cancellation or breach under Article 6, it shall be applied first to penalties, then to compensation. Any remainder shall be refunded upon payment in accordance with Article 12.
  4. Failure to pay the deposit by the specified date shall render the contract null and void, provided the guest was notified of this condition when the payment deadline was set.

Article 4 (Special Provisions for Deposit Waiver)

  1. The Hotel may enter into a special agreement exempting the guest from paying a deposit.
  2. If the Hotel does not request a deposit or set a payment deadline, such omission shall be deemed as acceptance of this special agreement.

Article 4-2 (Request for Cooperation in Infection Control)

The Hotel may request the cooperation of prospective guests in accordance with Article 4-2, Paragraph 1 of the Inns and Hotels Act.

Article 5 (Refusal of Contract)

The Hotel may refuse to enter into an accommodation contract in the following cases: (1) Application not made in accordance with these Terms and Conditions (2) No room availability (3) Guest is likely to violate laws, public order, or good morals (4) Guest falls under organized crime groups, related persons, or other anti-social forces (5) Guest has caused significant inconvenience to others (6) Guest is a patient of a designated infectious disease (7) Guest makes violent demands or unreasonable requests exceeding socially acceptable limits (except when seeking removal of social barriers as provided by law) (8) Guest repeatedly makes unreasonable demands affecting the Hotel’s services to other guests (9) The Hotel cannot accommodate due to natural disasters, breakdowns, or other unavoidable reasons (10) Guest is intoxicated and likely to disturb others.

Article 5-2 (Explanation of Refusal)

Guests may request an explanation when an accommodation contract is refused under Article 5.

Article 6 (Guest's Right to Cancel)

  1. Guests may cancel the accommodation contract by notifying the Hotel.
  2. If cancellation is due to the guest’s responsibility (excluding cases of unpaid deposits), a penalty shall apply as per Appended Table 2. If a special agreement was made under Article 4, penalties shall apply only if the guest was informed of such obligation at the time of agreement.
  3. If a guest fails to arrive without notice by the scheduled date of arrival, the Hotel may deem the contract cancelled by the guest.

Article 7 (Hotel's Right to Cancel)

The Hotel may cancel the accommodation contract in the following cases: (1) Guest acts, or is likely to act, against laws, public order, or morals (2) Guest falls under anti-social forces (3) Guest causes significant inconvenience to others (4) Guest is a patient of a designated infectious disease (5) Guest makes violent or unreasonable demands (6) Guest repeatedly makes disruptive unreasonable demands (7) Accommodation becomes impossible due to force majeure (8) Guest is intoxicated and causes disturbances (9) Guest violates facility rules (e.g., smoking outside designated areas).

If the contract is cancelled by the Hotel for these reasons, charges for unused services shall not be collected.

Article 8 (Guest Registration)

Guests shall complete a registration form upon check-in with the following details: (1) Name, age, gender, address, and phone number (2) For non-Japanese guests: nationality, passport number, port and date of entry (3) Departure date and time (4) Other items as required by the Hotel.

Article 9 (Room Usage Time)

Please refer to individual facility regulations for check-in and check-out times. For consecutive stays, rooms may be used throughout the day except on arrival and departure days.

Article 10 (Compliance with Rules)

Guests shall comply with the facility-specific rules established by the Hotel.

Article 11 (Hours of Operation)

The Hotel’s facility hours are posted onsite or in facility guides and may change when necessary. Any changes shall be communicated appropriately.

Article 12 (Payment)

  1. Guests shall pay charges listed in Appended Table 1 by cash or accepted alternatives (e.g., credit card) at the front desk upon request.
  2. Charges shall apply even if the guest chooses not to use the room after it has been made available.

Article 13 (Liability of the Hotel)

The Hotel shall be liable for damages caused to the guest through the performance or non-performance of contracts, unless such damages are not attributable to the Hotel.

Article 14 (Substitute Accommodation)

  1. If the Hotel cannot provide the reserved room, it shall, with the guest’s consent, arrange accommodation of equivalent conditions at another facility.
  2. If substitute accommodation cannot be arranged, compensation equivalent to the penalty shall be paid, unless the inability is not attributable to the Hotel.

Article 15 (Custody of Guest’s Baggage or Belongings)

  1. If a guest’s baggage arrives at the Hotel prior to their stay, the Hotel shall be responsible for its safekeeping only if the Hotel has agreed to receive it in advance, and shall hand it over to the guest upon check-in.
  2. If baggage or belongings are left at the Hotel after checkout, the Hotel shall, in principle, await instructions from the owner. If no instructions are received, the Hotel shall dispose of them after three months. However, food, beverages, cigarettes, and magazines shall be disposed of immediately.

Article 16 (Responsibility for Parking)

  1. When a guest uses a parking lot managed by the Hotel (hereinafter referred to as "Hotel parking lot"), regardless of whether or not the vehicle key is deposited, the Hotel provides only a parking space and assumes no responsibility for management of the vehicle.

    The Hotel shall not be responsible for vehicles or their accessories in parking lots not managed by the Hotel (hereinafter referred to as "affiliated parking lots"). The Hotel shall not be liable for theft, loss, or damage of vehicles, accessories, or loads in affiliated parking lots.

    The Hotel shall not be liable for damages incurred by users of affiliated parking lots due to the acts of other users, third parties, or vehicles and their attachments or loads present in the affiliated parking lot, or from any other incidents occurring therein.

Article 17 (Guest Responsibility)

Guests shall compensate the Hotel for any damage caused by intentional or negligent actions.

  1. Note 1: % indicates the ratio of the penalty charge to the basic room charge.
  2. Note 2: If the contracted number of days is shortened, a penalty equivalent to one day (the first day) shall be collected regardless of the number of shortened days.
  3. Note 3: In the event of partial cancellation of a group reservation (15 persons or more), no penalty shall be charged for up to 10% (rounded up) of the number of persons reserved as of 14 days before the stay (or the date of acceptance if booked after that date).
  4. Note 4: A group booking may be held provisionally for up to 14 days after reservation. To confirm the booking, a 10% deposit must be paid within 14 days of the provisional reservation.
