Notes
  • The venue usage fee includes basic sound and lighting equipment. A detailed equipment list is available for review. Any equipment not listed must be provided by the user.
  • Please arrange for a PA engineer on your end when using the sound system.
  • The rental time includes both setup and teardown.
  • The first and last five minutes of the usage time will be reserved for checking the equipment together with our staff.
  • Events requiring high volume (e.g., live performances) are restricted to Fridays and Saturdays.
  • As the facility is attached to a hotel, events may not extend past 22:00 depending on their nature.
  • Free equipment usage.
  • Free bar setup (actual setup depends on staff availability on the event day).
  • The space is directly below a hotel, so there is a possibility that we may need to ask for sound to be lowered.
  • If the space is used for an art display over multiple days, artists may store some items in the staff room free of charge.
  • If you damage the venue's equipment, you may be required to cover the cost of a new replacement.
  • Depending on the type of event, the staff room may be available for use, but access is subject to scheduling constraints.
  • Garbage bags will be disposed of at ¥500 per bag (70L).
  • We may take photos during the event and use them on social media and other platforms. If you prefer not to be photographed, please inform us in advance during the meeting.
Cancellation Fees

If canceled 14 days or less before the event: 100% of the venue usage fee will be charged. However, in cases of force majeure, such as natural disasters, government restrictions, or life-threatening health issues, this policy may not apply. Special circumstances will be reviewed on a case-by-case basis. Please consult with us in advance regarding refunds related to cancellations.

Usage Regulations
Application & Procedures
  1. Applications are accepted up to six months in advance of the event date, but no later than one and a half months before the event date.
  2. Applicants must provide details regarding the event purpose and content via the form that we will/have provided.
  3. Reservations are valid for two weeks before confirmation is required.
  4. Process for confirming a reservation:
    1. Submit a completed application form via the Notion form.
    2. Deposit the venue rental fee into the designated account within two weeks of event approval. If payment is delayed, a certain late fee will be added. If you need to change the payment deadline, please consult us in advance. If payment is not confirmed, the reservation may be canceled.
    3. The applicant bears any bank transfer fees.
    4. The contract is finalized once payment is confirmed.
  5. If the usage time exceeds the agreed period, an overtime fee of ¥5,000 will be charged for every 20 minutes. The fee will start accumulating from the beginning of the extension, with ¥10,000 charged after the first 20 minutes. Thereafter, ¥5,000 will be added for each additional 20-minute increment.
  6. The rights to use the venue cannot be transferred or subleased.
  7. The usage fee is non-refundable except in cases of natural disasters or other unavoidable circumstances.
Food & Beverage Sales

If you wish to sell food and beverages, please consult with us in advance. WPU Gallery can provide catering and a drink bar if needed. However, availability depends on the situation, so please discuss details with us beforehand.
